Dispatch Schedule and Calendars

Because of recurring calls, AngelTrack's Dispatch Schedule works very differently than its Calendars of Upcoming:

In other words, if a dialysis patient is scheduled for transport every Monday, Wednesday, and Friday, the Schedule will show only the next appointment (let's say Monday); Wednesday's appointment does not appear on the Schedule until Monday's transports have finished. Whereas the Calendar shows the appointment every Monday, Wednesday, and Friday indefinitely into the future: the appointment is projected into the future based on its recurrence setting.

The Schedule

The Schedule shows everything currently booked. Recurring dispatches are obviously included, but their projected recurrences are not. So, the Schedule gives an accurate view for today or tomorrow, but it is not useful for estimating workload on future days, since future recurrences are not included.

The Schedule is built this way in order to make it easy to locate scheduled items that a caller may inquire about. It contains several filters to help you find the dispatch you are looking for, notably including the patient's last name. It also has a facility filter, to display only those dispatches that originate or terminate at a specific facility.

Using the Schedule you can pre-assign dispatches to a shift or to an affiliate, without changing the activation times. For further reading, refer to the Affiliates guide.

Overlap helpers

An overlap is an opportunity to pick up one patient at the same time as you drop another patient off, or an opportunity to double load. The schedule helps you find these overlaps.

Each different color represents a one-mile-wide one-hour-long overlap among two or more dispatches. It is up to the dispatcher to find a way to take advantage of it. Some calling around and pushing appointments forward or backward by 30 minutes or so may be necessary.

The "Today" view of the Calendars page offers the same colored bars, drawing the dispatcher's attention to the same chances for gains.

The Calendars

Calendars allow you to review future workloads, with all recurring dispatches projected forward into the future according to the recurrence schedules. The calendars therefore show the true workload, which cannot be visualized using the Schedule.


On the Daily calendar, each upcoming dispatch is shown as a bar, color-coded by service level requested. Each bar begins at the dispatch's activation time, on the understanding that activation time is when a crew unit will be assigned. The bar has two sections: a heavily-colored section indicating the minimum period of time the call will require, and a lighly-colored section indicating the maximum period of time the call could reasonably require. AngelTrack calculates these time periods by looking at the origin and destination arrival times and estimating the additional time spent at each.

When two or more wheelchair-van dispatches have the same Origin address, and have similar activation times, they will be highlighted as a potential multiple-load -- in which just one wheelchair van transports multiple patients.

If you have multiple stations or multiple service areas, use the Zone selector in the upper-right corner of the page to view the workload on a zone by zone basis, in order to get a sense for the number of vehicles the day will require.


The Weekly calendar is the most useful, because it uses the "Today Bar" technology to visualize each day's anticipated workload and chokepoints, like this:

Because the calendar projects your recurring dispatches into the future, they can visualize the exact workload for the coming days, allowing you to adjust your crew schedules and/or arrange to delegate some of the work to your affiliates.

The color of the bars indicates the type of service requested and whether the call has been preassigned to a shift or affiliate, using AngelTrack's standard colors:
