This is a list of the top tips that all AngelTrack users should know.

  1. It is always safe to click a link.

    Everywhere in AngelTrack, it is always safe to click a link. Always.

    Only buttons make changes to the database.

    Clicking a link may change something on the page, or even open a new page, but it does not commit any changes to AngelTrack's database. You must always click a button to make your changes permanent.

  2. Get comfortable using browser tabs.

    All modern browsers have tabbed interfaces, allowing you to have many pages open at once. AngelTrack was designed for exactly this environment, and you will become much more efficient when you become skilled at utilizing your browser's tabs.

    It is equally beneficial to use multiple browser windows, rather than tabs, if that is your preference.

    When you click a link, hold down CTRL to open it in a new tab. Or you can right-click it and select "Open in new tab".

  3. A link with an ellipsis… always opens a new browser tab.

    Whenever you see a link with an ellipsis, like this one Doe, John…, it will open that page in a new browser tab.

  4. Pages with black backgrounds are crew areas.

    All crew pages, including the entire PCR, have black backgrounds in order to preserve crew members' night vision when using their devices at night.

  5. A dual-monitor computer will be life-changing.

    Anyone doing dispatch or back-office work will benefit enormously from a dual-monitor computer. These days they are cheap, and many desktop computers have built-in support for two monitors. (If your desktop has only one video output, it can usually be upgraded to two by adding a $25 video card.)

    Seriously. You should have a dual-monitor computer.

  6. It's okay to leave it blank.

    When AngelTrack asks you for a piece of data that you do not have, don't lie. Leave it blank.

    It is tempting to give non-answers like "don't know" or "TBD" or zero, because we've all used software in the past that demanded a response in every datafield. AngelTrack is not like that. Nearly all of AngelTrack's datafields can be left blank when you don't know the answer.

    In fact, the lack of an answer is itself an answer... and AngelTrack makes certain decisions according to which datafields are and are not filled in. If you type in a non-answer like "???", AngelTrack may reach the wrong conclusion. So just leave it blank.

  7. If all else fails, export it to Excel.

    All of AngelTrack's grids are exportable to Excel, via a .CSV file (comma-separated values). You can slice and dice the data any way you wish, without any help from AngelTrack's UI.

    Also, billers have access to the Bulk Excel Export tool which can export an enormous amount of data for each dispatch. You can use the data to create almost any imaginable report.

  8. Flesh out your facility records.

    Your facility records can contain useful pieces of information, such as:

    If you input the aforementioned information, AngelTrack can then offer it to dispatchers, crew members, and billers at appropriate times.

    For example, if there is an ER phone number on file, AngelTrack will show it to crews (as a "click to call this number" link usable on a smartphone) when they are transporting a patient to that facility, saving them the hassle of looking up the number. Likewise, if you input the access code to the facility's door, AngelTrack will display the code to crews when they arrive on-scene.

  9. If it's disabled, it will explain itself.

    If you see a greyed-out button or link or checkbox, hover your mouse over it to see an explanation.

  10. The shortcut keys will save you a lot of mousing.

    On any AngelTrack page with a "Save" button, ALT+S will click it. Likewise on any AngelTrack page which contains an add button, ALT+= (ALT+Equals) will click it.

    Unfortunately, most of the shortcut keys don't work in Firefox, because Firefox uses them for its own menus. Consider switching to Chrome.

  11. Salaried employees should use the timeclock too.

    Even though you don't need a timecard to calculate your salaried employees' pay, you will benefit when they use the timeclock to track their work hours.

    There are tons of reports and statistics in AngelTrack that are driven by timeclock data... including the most valuable report in the world of EMS: crew utilization efficiency. If your salaried employees are not logging their time, AngelTrack can't tell you who is overworked or underworked, nor can it tell you which stations are understaffed or overstaffed.

  12. If in doubt, whip out your smartphone.

    A smartphone is a perfectly reasonable way to use AngelTrack. You can clock-in and -out, collect signatures, log crew progress, check the dispatch board, review the fuel status report, whatever.

    For example, a dispatcher who wants to step out for lunch can forward the company phones to his or her smartphone. Then, using earbuds, the dispatcher can take calls and book dispatches while in the car or at a restaurant.

  13. Data is never deleted.

    Data put into AngelTrack is there forever. You can mark it deleted or inactive or expired, but you then have the option to undelete or reactivate it.

    Many grids throughout AngelTrack have an option like ☑ Hide inactive items, already checked. Uncheck it to see inactive data, such as ex-employees, old vehicles, cancelled dispatches, deleted PCR entries, and so on.

  14. Avoid clocking other people out, or editing their timecards.

    The quickest way for a company to get in trouble with labor law, is too much good-intentioned editing of employee timecards.

    AngelTrack makes it easy to clock-out employees who have forgotten to do so, and easy for members of HR to correct the timecard errors that result. When such is necessary, you must have a strict policy in place to protect yourself from accusations of tampering.

    Start by reading the Timeclock Manual Clockouts guide, and look over the sample policy it recommends. There is also a built-in announcement already in your AngelTrack server that you can customize and then activate, in order to publish the policy.
